Smartsheet Workflow Copy and Paste

Smartsheet does not let you copy an automation from one sheet and paste it into another. When you build a new sheet that needs the same set of automations as an existing one, you rebuild every workflow manually — trigger conditions, recipient lists, message text, and action settings all entered from scratch.

Without Grid Tools

The daily workaround

Manual recreation of each workflow
Every trigger, condition, and action must be reconfigured individually when setting up automations on a second sheet with similar requirements.
Inconsistent automation across sheets
Rebuilding workflows by hand introduces variation — different recipient lists, slightly different condition logic, or missing steps compared to the original.
Time lost on repeated setup
Teams managing many similar sheets spend significant time duplicating the same automation configurations across each one.
No audit trail for recreation
When a workflow is rebuilt from memory, subtle differences go unnoticed until the automation misfires — at which point the original configuration is unavailable for comparison.

With Grid Tools

How Grid Tools handles it

Copy a workflow from one sheet
Select any workflow on a sheet and copy it with a single action — all trigger conditions, actions, and settings are captured.
Paste it into any other sheet
Open the target sheet's workflow editor and paste — the copied workflow appears with all its original configuration intact.
Consistent automations across sheets
Because the automation is copied rather than rebuilt, the logic, recipient structure, and message text match exactly.
Faster sheet template rollout
When deploying a standard automation pattern across many sheets, paste replaces repeated manual setup for each one.

Frequently asked questions

Does Smartsheet allow copying workflows between sheets?

No. Smartsheet does not have a native copy-paste function for workflows. You can duplicate a sheet (which carries its automations), but you cannot copy a single workflow from one sheet to another.

What gets copied when I copy a workflow?

The copy captures the full workflow configuration: trigger type and conditions, any filter conditions, action type, recipient definitions, and message content.

Do column placeholders in the copied workflow still work on the target sheet?

Column placeholders reference columns by name. If the target sheet has columns with the same names as the source sheet, the placeholders resolve correctly. If column names differ, you will need to update those references after pasting.

Can I copy multiple workflows at once?

Grid Tools currently supports copying one workflow at a time. Paste it into each target sheet separately.
